Creating a New Student Organization
Current and New Student Organizations: Maintaining Student Activities Recognition
Simple! Register your organization in the
Student Organization Database (or update your registration). You will need the
following information:
Organization Name, Mission, Meeting days/times/location,
(box and e-mail if different from president)
President's name, box number,
phone (cell preferred if primary contact), e-mail.
Treasurer's name, box
number, phone (cell preferred if primary contact), e-mail.
Advisor's name,
box number/address, phone, e-mail.
Once student activities receives your registration, they will confirm the information with your advisor, clarify any information, and then make your registration "live."
The database registration process will happen once- and from then on groups will just have to update their record in the spring with new officer information to be eligible for services the following academic year. (If they don't their registrations will be deleted and they will have to restart the process.)
Every registered group will recieve a group login and password that they can use to update their records at any time. All e-mails, newsletters, and ASG financial information are generated from the database so it behooves groups to keep their information current.
Current Student Organizations: Ongoing ASG Recognition
ASG Recognized organizations must elect their officers each year by the end of March, submit a budget packet during the appointed time (typcially in March), and attend budget hearings in April to remain a current ASG organization. If not, organizations must reapply for recognition as a "new student organization." Please note: ASG notifies organization about budget processes via the information in the Student Activities database. ASG is not reponsible for organizations that do not maintain current information. (ASG organizations who miss budget hearings should review the ASG Financial Policies to obtain budgets).

Article III Recognition of Student Organizations
Recognition of an organization
by ASG is prerequisite for the petitioning of the Committee of the Budget for
funds from ASG or to use the name Allegheny College as part of an official title.
Section 1 Chartering Procedure
A. Any organization will be recognized by ASG
provided that:
1. A petition for its formation, signed by fifty (50) students
of Allegheny College, is presented to the Attorney General.
2. A copy of its
constitution is presented that contains:
a. the name of the organization
b. the aims and objectives of the organization
c. regulations relating to
membership, eligibility and established quorum.
d. provisions for the selection
of officers and a means for impeachment.
e. the responsibilities of the officers
f. detailed provisions for the exercise of financial control
Within two weeks
the Rules Committee will submit copies of the proposed constitution to the ASG
Senate with its recommendations for action. Recognition will require a 2/3 majority
vote of ASG Senate present at 2 (two) consecutive meetings.
B. All organizations'
constitutional amendments will be submitted to the ASG Rules Committee for review.
The decision of the Rules Committee will be approved by the ASG Senate (by 2/3
majority vote of members present). The Attorney General will notify ASG Senate
of all decisions regarding organizations' constitutional amendments.
C. The
recognition of an organization may be withdrawn by a 2/3 majority vote of ASG
Senate present at 2 (two) consecutive meetings.
D. Organizations budgets will
be made from ASG funds in accordance with criteria agreed upon by ASG as laid
down in the Financial Policies of ASG.
E. Any alleged violations of ASG recognized
organizations constitutions, the ASG Constitution, ASG By-Laws, State laws and/or
College policies will be reported to the College Judicial Board for investigation
and disposition.
Section 2 Requirements
A. ASG-recognized organizations
will be open to all students without respect to sex, race, creed, national origin,
sexual orientation, or ability.
1. Organizations that discriminate on the
basis of academic ability may be
recognized by ASG under the following conditions:
i. Organizations are chapters of a chartering organization with the accreditation
of the National Association of Honors Societies, a imilar institution, or an academic
department of a college or university;
ii. Organizations submit a signed letter
from their chartering organization affirming designation as a chapter and stating
the full requirements for membership;
iii. The constitutions of organizations
establish requirements for membership at the minimum level prescribed by the chartering
organization;
iv. Organizations disclose on a yearly basis a list of all members
and their qualifications for membership;
v. Discrimination based on academic
ability is limited to selecting membership;
vi. No ASG funds may be used to
pay membership dues to the chartering organization;
Organizations currently
recognized by ASG must meet the above conditions prior to requesting a budget
for any future academic year.
B. Officers of ASG recognized organizations
must be students, members of the faculty, or members of the administration of
Allegheny College.
C. ASG organizations are required to have a faculty or
administrative advisor.
D. ASG organizations must have an officer designated
as a liaison between the organization and ASG.
